Terms and Conditions for Dauntsey Festival of Transport and Country Show

1. Definitions and Interpretation
1.1 “Event” refers to the show, exhibition, concert, theatre, and/or festival for which tickets are being offered.
1.2 “Organiser” means the person, firm, or company staging the Event.
1.3 “Tickets” refers to both physical and electronic tickets for the Event, granting the right to attend the Event.
1.4 “Venue” refers to any facilities or locations where the Event is being held.
1.5 “You” refers to the person purchasing or using the Tickets.
1.6 “Your” shall be interpreted accordingly.
2. Changes to These Terms
2.1 We reserve the right to change, modify, add to, or delete portions of these terms at any time. This may be necessary to reflect changes in Ticket services, Ticket Provider requirements, payment methods, relevant laws, and regulatory requirements.
2.2 If we make changes to these terms, we will post the updated terms on this page and indicate the effective date at the top. It is your responsibility to review these terms regularly.
2.3 Your continued use of the site after any changes constitutes acceptance of the new terms. If you do not agree to the new terms, please discontinue using the site.
2.4 You must be at least 18 years old to enter into a contract and use this site. If you are between 13 and 18, you must have a parent or legal guardian review and agree to these terms on your behalf. Children under 13 may not purchase tickets.
3. Privacy
3.1 You may be required to provide certain information (name, email address, address, and telephone number) to complete the purchase process.
3.2 By using the site, you agree that we may hold, store, and use your personal information to provide Ticket services. For more details, please see our privacy policy.
3.3 It is your responsibility to keep us updated with any changes to your details (including contact address, telephone number, or email address).
4. Visitors & Tickets
4.1 All Tickets are sold subject to availability and these terms.
4.2 Tickets may be subject to a maximum purchase limit, which will be notified at the time of booking. We reserve the right to cancel any Tickets purchased in excess of this limit without prior notice unless the excess purchase was due to our error.
4.3 It is your responsibility to check your Tickets upon receipt. If there is an error, contact us immediately at [contact email]. Mistakes cannot always be rectified after purchase.
4.4 A valid Ticket is required for entry to the Event. Altering or defacing the Ticket may invalidate it.
4.5 Keep your Tickets safe; lost, stolen, or destroyed Tickets will not be replaced or refunded.
4.6 Duplicates may be issued at the discretion of the Organiser and may incur a reasonable administration fee.
4.7 Proof of identity and entitlement (e.g., age or student status) may be required when claiming a concession.
4.8 Ownership or possession of a Ticket does not grant any rights to use, alter, copy, or otherwise deal with any trademarks, logos, or intellectual property on the Ticket.
5. Ticket Orders, Pricing & Payment
5.1 The contract for the purchase of any Ticket will be between you and the Organiser and will be formed when the Organiser has received full payment for the Ticket(s).
5.2 The price of the Ticket will be as quoted on the site at the time we accept your order, excluding any booking fees or delivery charges, which will be indicated during the order process.
5.3 Prices are subject to change at any time. If a pricing error is discovered before payment is taken, we will notify you, and you can choose to proceed at the correct price, subject to availability.
5.4 We are not obligated to provide Tickets at an incorrect (lower) price if the pricing error is obvious and unmistakable.
5.5 Payment for Online Tickets must be made by through Ticket Source. You confirm that you are authorized to use the card provided for the purchase.
5.6 We use a third-party payment provider to process payments and reserve the right to cancel bookings suspected of fraud.
6. Changes to Event and Cancelled/Re-scheduled Events
6.1 The Organiser reserves the right to make alterations to the published Event programme where reasonably necessary.
6.2 You are responsible for checking if an Event has been cancelled or rescheduled.
6.3 We will use reasonable endeavours to notify you of cancellations or rescheduling using the contact details provided at the time of booking. Still, we cannot guarantee you will be informed before the Event date.
7. Refunds/Exchanges
7.1 Tickets for either entry or pitches cannot be exchanged or refunded after purchase.
7.2 In cases where an Event is cancelled by the Organiser or curtailed due to circumstances beyond our control, we will not be liable beyond any refunds payable under the Organiser’s rules.
7.3 These terms do not affect your statutory rights as a consumer. For further information, contact Citizens Advice, Consumer Direct, or the Department for Business Innovation and Skills.
8. Resale/Use of Tickets
8.1 Tickets are for personal use only. We reserve the right to cancel any Tickets resold or attempted to be resold in breach of this section.
8.2 Tickets used for advertising, promotions, competitions, or free draws without prior consent from the Ticket Provider may be cancelled.
9. Void Tickets
9.1 Tickets obtained in breach of these terms are void. Attempting to use such a void Ticket may result in ejection from the Venue and legal action. Void Tickets are non-refundable.
10. Conditions of Admission
10.1 You must comply with all instructions, directions, relevant laws, safety announcements, and Event regulations while attending the Event.
10.2 The Organiser reserves the right to refuse admission or request that Ticket holders leave the Event in reasonable circumstances, including for health and safety reasons.
10.3 Examples of reasonable grounds for removal include but are not limited to, behaviour affecting other visitors’ enjoyment, using threatening or abusive behaviour, or being under the influence of alcohol or drugs.
10.4 No refunds for refusal of entry or ejection due to personal behaviour will be given.
10.5 The Organiser may conduct security searches and confiscate dangerous or disruptive items.
11. Media & Publicity
11.1 Ticket holders may be filmed, photographed, and/or recorded without payment or further notice for broadcast, event promotion, or security purposes.
11.2 Exhibitors and accredited press may also film, record, or photograph visitors for promotional purposes without payment or further notice.
12. Vehicle Exhibitors
12.1 No generators to be run between 10 pm – 6:30 am.
12.2 Follow all instructions from rally stewards/marshals.
12.3 Drivers must hold a full driving licence for their exhibit class and be fully insured for rally use.
12.4 Dog owners are legally liable for their dogs and must ensure they clean up after them. Any exhibitor bringing their dog to the show must ensure that it is under their control at all times and is not permitted to run freely on the showground. Dogs must be on a short non-retractable lead at all times.
12.5 Exhibits must be covered by public liability insurance with a minimum of £5 million.
12.6 Adhere to any Public Health England regulations in place at the time of the event.
12.7 Vehicles must not be moved between 9 am – 5 pm.
12.8 Trade stalls must remain until 5 pm on Monday.
12.9 Keep emergency vehicle and fire lanes clear at all times.
12.10 Exhibitor Wristbands will be issued for the sole use of the Exhibitor and any member of their Staff.
12.11 Security: The Exhibitor is advised that the Organiser will not be held responsible for security of their exhibit or any property whilst on the Showground.
13. Trade Stands
13.1 All traders must have their fire extinguishers on-site and be covered by a minimum of £5 million public liability insurance.
13.2 Vehicles must be onsite before 9 am or parked in the public car park.
13.3 Access to the site is available all day on 22/08/2025.
13.4 No vehicle movement on site between 9 am and 5 pm unless instructed by marshals.
13.5 No generators are to be run between 10 pm and 6:30 am.
13.6 Follow all instructions from rally marshals/stewards. The Safety officer’s word is final.
13.7 Dog owners are legally liable for their dogs and must ensure they clean up after them. Any exhibitor bringing their dog to the show must ensure that it is under their control at all times and is not permitted to run freely on the showground. Dogs must be on a short non-retractable lead at all times.
13.8 Adhere to any Public Health England regulations in place at the time of the event.
13.9 Food trade staff must hold food safety certificates.
13.10 Payment for pitches must be paid in full at the time of booking. No refunds are issued; however, a credit will be issued for the next year’s event.
13.11 Due to limited spaces, pitches cannot be reserved until payment is received.
13.12 Keep emergency vehicle and fire lanes clear at all times.
13.13 Trade Wristbands will be issued for the sole use of the Exhibitor and any member of their Staff.
13.14 Large mobile units: If the Exhibitor has a large mobile unit, they are advised to have it in position by Friday 22th August 2025 as it may encroach upon adjoining Trade Stand space and need to be manoeuvred into position.
13.15 Security: The Trade Exhibitor is advised that the Organiser will not be held responsible for security of their exhibit or any property whilst on the Showground.
14. Craft Stalls
14.1 All traders must be covered by a minimum of £2 million public liability insurance.
14.2 Vehicles must be onsite before 9 am or parked in the public car park.
14.3 Access to the site is available all day on 22/08/2054.
14.4 No vehicle movement on site between 9 am and 5 pm unless instructed by marshals.
14.5 No generators are to be run between 10 pm and 6:30 am.

15.13 Under Age Consumption of Alcohol Exhibitors are responsible for ensuring that no alcohol is obtainable from their Trade Stand by children or young persons or others in accordance with the Licensing Act 2003. Exhibitors must ensure that they uphold the principles laid down in the Licensing Act 2003 in respect of: The prevention of crime and disorder Public safety The prevention of public nuisance The protection of children from harm
16. Animal Welfare
16.1 Animals on the showground must always have access to water
16.2 Animals must not be left unattended in vehicles, especially during heat periods. We reserve the right to contact to security if there is a concern for the welfare of any animal. Dogs must not be left in vehicles where there is a danger to their wellbeing.
16.3 Dog owners are legally liable for their dogs and must ensure they clean up after them. Any exhibitor bringing their dog to the show must ensure that it is under their control at all times and is not permitted to run freely on the showground. Dogs must be on a short non-retractable lead at all times.
17. Live Music Acts & Arena Display Teams
18. Camping
18.1 Open fires and disposable BBQs are not permitted.
18.2 No generators are to be run between 10 pm and 6:30 am.
18.3 Campers will be issued with a special wristband, so please ensure your party wears them at all times.
18.4 Anti-social behaviour will not be tolerated, and you will be ejected without a refund.
18.5 No anti-social sound systems will be permitted on site.
18.6 Please use the bins provided.
18.7 Keep emergency vehicles and fire lanes clear at all times.
18.8. Caravans and Camper vans should bring sufficient gas bottles in the fitted cylinders on the vehicle only. No spare bottles should be brought on site.
18.9. When camping only use purpose-built gas stoves with small gas bottles (2.2kg) no spare bottles to be brought.
18.10. Vehicle movement on the campsite will be restricted over the weekend. There will be no vehicle movement in the hours of darkness. The speed limit on site is 10mph.
18.11. Normal vehicle regulations apply to driving around on-site.
18.12 Pitches will be allocated on a first-come, first served basis, pre-booked only.
18.13. Strictly no Chinese lanterns or fireworks on site.
18.14. Strictly no drones are permitted to fly from the campsite.
18.15 Please remain vigilant to fire safety in order to help keep yourselves and other Visitors safe.
18.16 All visitors are expected to respect their fellow campers, campsite staff, facilities, and environment. Any antisocial or unruly behaviour will result in eviction with no refund.
18.17 Each pitch is limited to one vehicle and two people (unless otherwise agreed in advance with the organiser). Additional free parking is available.
18.18 Although smoking is permitted within pitches and open areas, the Organisers request all cigarette ends are disposed of safely.
18.19 All visitors are urged to keep valuables, caravans, tents, and vehicles secure. Anything suspicious should be reported to the Campsite Office or security without delay.
18.20 Please report any issues to the Site Manager or Security.
18.21 The Organiser shall not be under any liability for any failure to perform any of its obligations under this agreement due to Force Majeure. For the purposes of this clause, Force Majeure means fire, explosion, flood, lightning, Act of God, act of terrorism, war, rebellion, riot, sabotage, strike, disease or events or circumstances outside the reasonable control of the Organisers which renders, in the Organiser’s reasonable discretion, performance of the contract inappropriate.
18.22 The Organiser accepts no liability for death, personal injury, damage to property or other loss, save for that directly caused by the negligence of the Organiser, its servants, or agents.
18.23 All those camping must have their own fire extinguishers.
19 Security
19.1 In case of an emergency please contact the security on the front gate oor a team member at the welfare tent.
19.2 Security are not responsible for any personal belongings.
19.3 Security are not responsible for any injuries caused by fights.
20 Health & Safety
20.1 Exhibitors and their contractors are responsible for providing their own basic first aid provision. In addition to this the medical centre on site in open during show opening hours. All accidents requiring medical treatment that occur on the showground and are not reported via the first aid team must be reported to the Site Manager. The nearest medical centre/hospital is Great Western Hospital, Swindon.
20.2 Emergency: In the event of a major emergency requiring part or full evacuation of the site exhibitors will receive instructions on the action to be taken via the Show’s Stewarts. Please ensure that you follow their instructions are followed.
20.3 The Health & Safety Officer will be on site at all times during opening hours of the show.
20.4 Exhibitors must adhere to the Code of Conduct at all times
